Executive Program Assistant

Job Description

The Executive Program Assistant will support the organization’s Founder and Executive Director in her functions including carrying out high-level program development, communication, content-creation, management, and organizational leadership.

This entry-level position is offered for individuals with at least 1 year’s professional experience and an interest in mentorship, entrepreneurship, and non-profit organizational leadership.

Major Responsibilities

  1. Program Support – Assist the Founder and Executive Director in preparing program materials, conducting research, and undertaking program activities related to Konseye: The Mentorship Network.
  2. Communications Support – Assist the Founder and Executive Director monitor, prepare and disseminate written and spoken communications across multiple media.
  3. Administrative Support – Schedule meetings, organize travel logistics, maintain the calendar, and provide related support to the Founder and Executive Director.
  4. Information Management – Help capture, process, and organize data and tasks to ensure effective management of the Founder and Executive Director’s workload.

Reporting and Authority

The Executive Program Assistant reports directly to the Founder and Executive Director. On a project-by-project basis the Executive Program Assistant may be requested to work with other senior staff. In the event of such temporary assignments the Executive Program Assistant will report to both the Founder and Executive Director and the respective task team leader.

Qualifications and Requirements

  • Bachelor’s degree. A graduate degree is an asset.
  • A minimum of one year’s experience in the administrative and/or program management field.
  • Exceptional time management and organizational skills. An excellent ability to manage several tasks simultaneously and work within tight deadlines and schedule constraints is required.
  • Excellent ability to adapt to changing work requirements and priorities.
  • Excellent written communication and presentation skills. Excellent written and oral communication skills in English required. Additional language skills in French or Spanish are an asset.
  • Strong planning, organization, coordination, management, and execution skills.
  • Ability to work in a multicultural and multinational setting.
  • Fully proficient in Microsoft Word, PowerPoint, and Excel.
  • Experience creating content across various social media (e.g., Twitter, Facebook, Instagram) and design platforms (e.g., Canva). Some knowledge and experience of basic web design is an asset.
  • Knowledge of best office practices and procedures and use of general office equipment.

Qualifications and Requirements

  • Experience creating content across various social media (e.g., Twitter, LinkedIn, Facebook, Instagram) and design platforms (e.g., Canva). A passion for design and content creation is required.
  • Some knowledge and experience of basic web design is an asset.
  • Experience in social media management and engagement is required. Experience with marketing and community engagement is an asset.
  • Experience and passion for writing material of publishable quality.
  • Exceptional time management and organizational skills. An excellent ability to manage several tasks simultaneously and work within tight deadlines and schedule constraints is required.
  • Excellent ability to adapt to changing work requirements and priorities. Excellent ability to adjust based on feedback.
  • Excellent written communication and presentation skills. Excellent written and oral communication skills in English required. Additional language skills in French or Spanish are an asset.
  • Strong planning, organization, coordination, management, and execution skills.
  • Ability to work in a multicultural and multinational setting.
  • Fully proficient in Microsoft Word, PowerPoint, and Excel. Experience with Asana, Slack, and other project management tools is an asset.

Location: The role is remote.

Dates: The initial duration is 12 months for this role. Extension is possible based on performance.
